Network Troubleshooting

Why is My HP Printer Offline But Connected to WiFi?

It is the ultimate technological frustration: your HP printer's wireless light is glowing a solid, healthy blue, your computer is on the same network, yet Windows stubbornly insists the printer is "Offline."

This is not a hardware failure. It is a communication breakdown known as a Dynamic IP Drop. Here is how to permanently fix it.

The Root Cause: WSD Ports and DHCP Leases

When you first run the 123 HP setup, Windows often installs the printer using a WSD (Web Services for Devices) port. Meanwhile, your home router uses DHCP to assign temporary IP addresses. When your printer goes into deep sleep, the router takes that IP address back. When the printer wakes up, it gets a new IP address, but Windows doesn't know about the change.

Step 1: The Quick Network Refresh

  1. Power off your HP printer completely.
  2. Unplug your wireless router from the wall for 30 seconds, then plug it back in.
  3. Wait for your WiFi network to fully stabilize, then turn the printer back on.
  4. Restart the Print Spooler service in Windows (search services.msc in your taskbar).

Step 2: Assigning a Static IP (The Permanent Fix)

To stop this from ever happening again, you must lock the printer's IP address.

  • Print a Network Configuration Page from your HP control panel to find its current IPv4 address.
  • Type that IP address into your web browser to access the HP Embedded Web Server (EWS).
  • Navigate to the Network tab > IPv4 Configuration.
  • Change the setting from "Automatic (DHCP)" to "Manual (Static)" and apply the changes.

Too Technical? Let Us Handle It.

Modifying router gateways and IP configurations can accidentally knock other devices offline. Our network engineers can securely remote into your system, lock in your Static IP, and rebuild your TCP/IP ports in minutes.
